I am the owner the founder of a small member owned LLC in Virginia. We approached clarity based on positive recommendations we received from a couple of firms in the area to help us prepare our 2019 company return and K-1s as well as get our books current for the first 6 months of 2020. We made it clear that the purpose was to review the books for accuracy given access to our filesdocuments to include statements, loan agreements, and access to any and all accounts. We explained how we had an overseas company just months prior do a major clean up for 2019 but we wanted a final and careful review by them prior to the US return being filed. A second part of the project relied on them cleaning up all the banking transactions and categorizations with my help in 2020. Much of which they would later deny being responsible to do when several major errors were found that were gross miss-categorizations. They never once asked us for input or advice on specific bank or loan transactions although we made ourselves readily available. You could tell they only trust quickbooks and the accounts connected to it and think they can do everything with that rather than relying on external documentation or speaking to the client about transactions that might be more complicated and instead just ignore them or later claim that they just left them as is if they did not know or something like that which made no sense. They have zero ability to conduct cloud based bookkeeping and accounting for small companies who store documents in the cloud and are busy trying to make sure that is all organized let alone download it all and re-upload it to their system which is the only one they will use but neglected to tell us that upfront or put in the contract. As a company, we rely on G-Suite to run the backbone of our communications and storage. Half way through the 2 month project the lead bookkeeper Kate Le informed us she would not rely on the documentation since they are not set up for cloud based bookkeeping and that we should have uploaded every individual file manually into their system. Stumbling through the rest of the project they refused to schedule a re-occurring meeting we wanted each Friday to review the progress and make sure we were all available to answer questions since we can become very busy and pouring through a ton of accounting emails during the week would be much less efficient rather than just saving more complex issues for a weekly meeting. They basically completely disregarded the request and speak down to the client the entire time and even ignore requests for meetings or getting legitimate answers to obvious errors. They simply come up with execuses rather than just owning the mistakes and working with the client to understand more detail--they make assumptions and categorizations that are never discussed with the company so its very dangerous if you do not oversee every thing they do and touch in your books which for us is not what we had in mind. It's like waking up every day having no idea what major error you will find next that simply was a result of their complete inability to build rapport and communication with the client and carefully understand major transactions or major relationships such as financing companies, personal loans and more. They treat you like they really do not want to talk or work with the client to truly understand their business. They never even started with simply going through the chart of accounts which we saw as flawed for our particular business and made reporting less than useful which although was not in the agreement they said they would do but never did even though we laid out a much better way to group the expenses for our specific company. They do not care what you want or need in reporting to actually get more important information. They fail to acknowledge mistakes and come on the offensive if you challenge their categorizations even if they are wrong--they simply deny responsibility in that case. Its really not conducive to small companies looking for help with bookkeeping who want to understand more about their company and be better leaders in this area utilizing better, more clear information to run the company. That is simply never even discussed even though that should just go without saying in bookkeeping. They are out of touch with the owners and the company as a whole. They were there to make quickbooks balance, even if it meant wrongly categorizing transactions to get a net zero and what they thought was a clean set of books which were full of mistakes in categorizations that would mislead investors and simply create a faulty tax return if the CPA relied on it. They do a very poor job of even communicating except for huge lengthy emails that no CEO has time to read but that is how they run their business so you better deal with it is the feeling we got. We asked for weekly meetings--on a specific day if possible which was completely ignored. You would get calls in the middle of your day trying to keep your business running and were expected to stop everything to take their calls--it was a huge headache and very stressful since you obviously want to answer every question they have if you want clean books--that meant most of the time cancelling 3-4 meetings everytime I got a random call during the day. At best you would receive last minute emails requesting a meeting the following day and random calls in the middle of running the company that would last hours that you never had scheduled. It was clear they were not reading any of the documentation we provided which was unsettling but we simply hoped it would all come together at the end. Nothing could have been further from the truth. As the project grew closer to the end, the lead bookkeeper Kate Le grew more and more aggressive towards us and avoid our questions and calls to address concerns we saw in Quickbooks. She was feeding the CPA inaccurate information and miscategorizing transactions and not providing the amortization schedules on the loans as she stated she would do. Making matters worse later we would find out that over 100,000.00 in loan payments and loan deposits would be miscategorized simply because of a failure to listen and review what we had made readily available. The bookkeeper Kate Le would later tell us she does not look at Excel files stored in the cloud because they can be too easily changed but in many cases with our loans, that documented the clear transaction history which would later be ignored and the transactions miscategorized causing major problems and. our tax filing to be even more late leading to large penalties and problems for the company. They are smart ladies when it comes to academics you can tell from talking to them but be careful if you need someone to truly be on your side and help you with difficult transactions and learn how to really leverage your books. You will get nothing of the sort, and if your books are not already in perfect order, you will likely suffer. For regular ongoing bookkeeping you might have better luck than us who could not trust them enough after 2 months to trust them with any ongoing bookkeeping.
